Reservation:

  1. Upon receiving your inquiry, one of our tour agents will contact you within 24 hours to begin planning a tour based on your requirements.
  2. Your booking will be confirmed upon receipt of advance payment as per our latest itinerary.
  3. For all bookings, customers must pay 20% – 50% in advance, varying depending on their arrival.
  4. You will receive a confirmation letter and payment receipt within three working days after the amount has been credited to our company’s account.
  5. After receiving the payment receipt, our company will make all hotel, transportation, and similar arrangements.
  6. The balance amount of the tour package must be paid five days before the departure date.

Payment:

  1. The prices quoted are in US dollars.
  2. Your travel advisor will email detailed payment instructions. The bank must clear the payment before your departure date; otherwise, all reservations will be automatically cancelled.
  3. You are responsible for bank charges incurred by the bank that sent your payment.
  4. You can pay via Credit card (online or offline).
  5. Wire transfer (bank transfer).

Cancellation and Refund:

  1. To cancel your tour, you must submit a cancellation request in writing by notifying the Tour agent.
  2. The cancellation fee will be imposed per person from the total payment as follows:
    • More than 45 days before departure: 10%
    • Between 15 and 45 days before departure: 20%
    • Between 7 and 14 days before departure: 50%
    • Between 0 and 6 days before departure: 100%
    • Additional cancellation fees imposed by service providers other than Udaya Ceylon Tours (including but not limited to banks or other payment platforms, vehicles, hotels, railway companies, etc.) will be deducted from the refund.
  1. Try to postpone the tour without cancelling it. The advance amount can be used again on the day of your arrival, changing the total cost when you reschedule the tour.
  2. Usually, we do not refund early checkouts during the tour.
  3. We cannot refund any amount for unused services.
  4. Udaya Ceylon Tours will refund 100% of your payment if you cancel 21 days before arrival in Sri Lanka due to unfortunate reasons, such as the pandemic, preventing you from reaching your destination.

Changes in the Tour Itinerary:

  1. The total amount of the tour package depends on the tour itinerary. If a change is requested after the travel package has been confirmed and paid for in advance, the total amount may vary based on the change.
  2. Udaya Ceylon Tours guarantees the agreed accommodation for the tour package the Customer chose. Once the booking is confirmed, the hotel cannot be changed before or after the guest arrives in Sri Lanka.
  3. If the guest requests to change the hotel booking, we will do our best to arrange another hotel in the selected category; however, the guests will bear these expenses.

Checklist for Essentials:

Ensure your travel documents, passport, visa, driver’s license, insurance information, and currency are in order.

Carefully check your flight time with your ticket. We do not accept responsibility for significant airline flight time adjustments after issuing our tour confirmation letter. You are responsible for informing us of any changes to your flight times.

Passport & Visa:

Travellers must carry a valid passport and necessary visas to start the tour. You are responsible for its validity and accuracy.

Travel Insurance:

We hope you have a safe and enjoyable trip with us. However, it’s essential to ensure you’re adequately insured against the unexpected. We recommend taking out appropriate insurance to cover unforeseen losses and damages, such as baggage damage or loss, flight delay or cancellation, etc., before your departure date.

Limitation of Liability:

  1. Udaya Ceylon Tours disclaims all liability for any accidents, injuries, property damage, or personal loss during the tour provided by third-party suppliers not directly owned or run by the company.
  2. We are not liable for any harm, loss, or damage associated with force majeure events, criminal activities, or theft.
  3. We reserve the right to amend the itinerary, substitute hotels, or adjust program prices due to unforeseen circumstances.
  4. Customers are responsible for adhering to customs laws, and we disclaim all liability for failing to comply.
  5. Our travel packages may involve activities requiring extra caution, and all actions are taken at your own risk.
  6. Udaya Ceylon Tours will not be held responsible for any losses or damages incurred due to force majeure events, including acts of God, war, or civil unrest.

Partial Bookings in the Tour:

If we only partially booked an itinerary, we are not liable for any holiday component we do not directly control.

Shopping:

We do not recommend or guarantee the value or quality of any additional product not expressly listed on the Travel Voucher that may be purchased during the tour. It is solely the client’s responsibility to determine the worth of a product.
